Office Assistant

Join a national non-profit where you will experience positive leadership and teamwork with colleagues who are motivated by meaningful work.  We seek a self-directed, highly organized person who can effectively multi-task and takes pride in producing quality work.  Must be able to work well in teams. This position is 30 hours per week.

SUMMARY:

Perform a range of basic office support activities for the organization, such as answering phones and directing calls, greeting and directing visitors, answering questions and performing routine clerical, data entry, and/or word processing work as assigned.

DUTIES AND RESPONSIBILITIES:

  • Answer telephones, route calls, take messages, and provide general information; greet and direct visitors; answer routine inquiries.
  • Opens and routes incoming mail; distributes correspondence and other material.
  • Performs a variety of routine typing assignments as appropriate to the position; draft basic correspondence, enter data, and print letters, labels, reports, and/or other materials; type and mail form letters.
  • Copies and/or duplicates materials as requested; oversee day-to-day operation of copy machine.
  • Establishes, maintains, processes, and/or updates files, records, and/or other systems.
  • Maintains shipping and receiving functions for the organization, including order fulfillment.
  • May perform specialized services of a routine clerical/administrative nature
  • May schedule or assist in scheduling appointments, meetings, and/or conferences.
  • May order, stock, and distribute office supplies.
  • May run various routine errands, as required.
  • Performs miscellaneous job-related duties as assigned.

MINIMUM JOB REQUIREMENTS:

  • High school diploma and one year previous related experience as office assistant

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Proficiency in Microsoft Excel, Word, Outlook, and Access
  • Ability to understand and follow specific instructions and procedures
  • Flexibility and initiative to work both independently and as part of a team
  • Excellent organizational skills
  • Attention to detail and accuracy 
  • Good judgment and excellent problem-solving skills
  • Strong interpersonal and communication skills, with the ability to relate well to other non-profit professionals, staff, board, donors, government officials, and grass-roots organizers
  • Excellent phone manner
  • Demonstrated poise, tact and diplomacy 
  • Excellent personal communication skills
