Administrative Assistant
The administrative assistant for Everyday Democracy is a vital member of the organization, providing primary administrative support to the Executive Director; and to key other managers as projects require. This individual will frequently represent “first impressions” of the organization to inquiring organizations as well as constituents. The ability to handle multiple responsibilities and work collaboratively in a team environment is essential to success. The ideal candidate will thrive in an environment where inclusiveness is valued. He or she will be expected to be a self starter, and have the ability to complete projects with little supervision and direction.
Essential Responsibilities and Duties:
- Coordinate and maintain executive director’s calendar, schedule appointments, and organize her travel plans
- Prepare correspondence, reports, proposals, spreadsheets and/or charts
- Organize and maintain files (electronic and hard copy) for director and on special projects
- Serve as first contact for many organizational inquiries, and directing these inquiries to the appropriate personnel
- Schedule key staff and board meetings at the direction of the executive director: Prepare preliminary agendas and materials, take meeting notes, keep list of follow-up action items
- Conduct research and collect data for special projects
- Proofread and edit materials for formatting, style, grammar and spelling
- Communicate with the board of the organization at the direction of the executive director
Knowledge, Skills, and Required Abilities:
- Excellent organizational skills and ability to multi-task, with attention to detail and accuracy
- Excellent writing, editing, proofreading, and oral communication skills
- Ability to manage deadlines and handle multiple responsibilities simultaneously
- Strong interpersonal skills and good judgment, demonstrating poise and diplomacy
- Knowledge of and competence in working with people from diverse communities
- Excellent collaboration skills and ability to work in a team environment
- Superior work ethic and service orientation
- The highest degree of integrity in handling confidential information and communication
- Ability to maintain data security
- A professional approach in delegating and disseminating information and or assignments to personnel in non reporting roles
